For every business that receives inquiries

A lead-management system — from the first inquiry to the customer

Every inquiry that reaches the business goes into BaseCRM as a lead card — on its own from a website form or a campaign, and in a few seconds of logging from the phone or WhatsApp — with a status, a reminder and an owner. No Excel, no sticky notes, nothing missed. Fully in Hebrew, registered with the Israeli Tax Authority.

What is a lead-management system? Software that collects every inquiry from a potential customer in one place, identifies duplicates, assigns a status and an owner, and follows the lead until it becomes a paying customer. In BaseCRM, leads come in automatically from a website form, a webhook, Google Forms, a Facebook campaign (via n8n / Make / Zapier), an incoming email and a phone call — and are managed on a visual lead board in Hebrew.

Why businesses lose leads

Most leads aren't lost because of a bad product — they're lost due to slow handling and a lack of follow-up

Slow response

The inquiry arrived by email on Thursday. You got back to it on Sunday. The customer had already gone with someone else.

An Excel sheet that never gets updated

Leads in one Excel file, messages on WhatsApp, and calls in someone's memory. No one knows who handled whom.

The same lead, twice

The customer filled out a form and also called. Two cards were created, and two salespeople got back to them.

A follow-up that got forgotten

"Get back to me in two weeks" — and no one did. The hot lead went cold.

How leads enter BaseCRM

Every source of inquiries connects — no developers, no manual copying

A lead form on your website

Build a form in BaseCRM and get two options: a link to a hosted form (perfect for WhatsApp, an Instagram bio, or a sponsored ad), or a single line of code to paste into your website — it works on WordPress, Elementor, Wix and any other site. Every submission goes straight in as a lead card, with automatic duplicate detection by phone or email.

  • Integration by pasting a single line
  • Custom fields
  • An email alert for every new lead

Campaigns, webhooks and automation

Every business has a dedicated intake address. You connect Facebook Lead Ads, Google forms, external landing pages or any other system to it — through n8n, Make or Zapier, without writing a line of code. The lead comes in within seconds, and the source the tool sent is saved and shown on the lead card, so you can see where each inquiry came from.

  • Automatic tagging by source
  • An intake log for troubleshooting

Phone calls and incoming emails

A phone system connected to BaseCRM automatically opens a lead card when an unrecognized number calls — with the call logged and recorded, if available. An incoming email from a customer is logged on their card by itself. No inquiry stays stuck on someone's phone.

  • Logging of incoming email
  • Full communication history on the card

A lead board — from inquiry to close

A visual board where each lead is a card and each column is a stage: new, contacted, in treatment, quote sent. You drag a card between columns and the status updates. When the lead closes, one click on "Convert to customer" turns it into a customer, and from there you can issue a document.

  • Stages you can adapt
  • Convert to a customer in one click
  • A follow-up date on the lead card

Recording and transcribing a meeting

A sales meeting recorded and transcribed — to go back to exactly what the lead asked for

Record a full meeting, up to 90 minutes, and get a transcript attached to the appointment — the needs, the budget and the objections, in the customer’s own words.

For example:
  • A first introductory call with a lead
  • A proposal presentation meeting
  • A follow-up meeting before closing
  1. Consent before anything else

Before recording, the participants confirm the meeting is being recorded. Without that confirmation, recording does not start.

  2. Record up to 90 minutes

On the appointment, choose “Record the meeting + transcript”, from the phone or the computer. The recording uploads in parts during the meeting.

  3. The transcript arrives on the appointment

Usually within a few minutes of the end, with a notification. Copy it or add it to the appointment description with one click.

  • The recording is transcribed on BaseCRM’s transcription server. It is not sent to external AI services.
  • The audio is deleted right after transcription. The transcript is stored encrypted, and everyone authorised to see the appointment can read it.
  • The transcription engine was trained on spoken Hebrew.

The transcript usually appears within a few minutes after the recording ends, and a notification is sent when it is ready. If the transcription server is offline at that time, the recording waits for it; a recording not transcribed within 7 days is deleted.
