For garages, tyre shops, auto electricians and A/C

Garage management software — type a plate number, and the vehicle is already in

Base keeps a garage’s vehicles, customers, jobs and invoices in one place, in the cloud. One plate number fills in the make, model, model year and test date from the Ministry of Transport vehicle registry.

Where a garage’s time goes

Not on the car — on everything around it

Vehicle details typed by hand

Make, model, year and VIN copied from the registration for every new customer — typos included.

History in a notebook

What was replaced last time, and at what mileage? The notebook is in a drawer, and the customer doesn’t remember.

Tests that pass unnoticed

A customer whose test is coming up is work waiting for the garage — if someone remembers to call in time.

A quote by voice message

The law asks for a detailed written quote, with the type of parts and the warranty. A voice message doesn’t meet that.

How Base works in a garage

From the moment the vehicle comes in to the invoice

A plate number fills in the vehicle

Type a plate number and press “Fill in from the Ministry of Transport”: the make, model, model year, fuel, colour, VIN and test date come from the Ministry’s open vehicle registry. Where the registry has them, the mileage at the last test and open recalls are shown too. Every field stays editable, and a vehicle the registry doesn’t have is typed in by hand.

  • Vehicle details and test date from the Ministry of Transport registry
  • Open recall check for the vehicle
  • Search by plate number, however it’s typed

Check-in — one plate number

A vehicle that arrives is checked in on the “Vehicle check-in” screen: type the plate number, and a known vehicle opens with its customer, test date, last mileage and previous job. Record the mileage on arrival and what the customer reports, and the job opens on the “Checked in” stage. A vehicle not yet in the system is added from the Ministry of Transport registry and goes straight on to check-in.

  • Check-in by plate number
  • Mileage and the customer’s complaint on every job
  • A warning when the vehicle already has an open job

A job history for every vehicle

A job moves through stages — checked in, diagnosis, waiting for the customer’s approval, waiting for parts, in progress, ready for pickup and delivered — and every job of a vehicle is gathered on its page, with the mileage and what was done, even when the vehicle changes owner. When the vehicle is ready, a ready WhatsApp message opens for the customer, in their language.

  • Garage work stages
  • WhatsApp message to the customer when the vehicle is ready
  • Tasks, work hours, files and photos for every job

Quotes and invoices from the job

From the job you issue a quote or an invoice, and the document opens with the customer, the vehicle and the mileage already in it. A quote starts with the text the law asks for — the type of each part (original, alternative or refurbished), a warranty of at least 3 months or 6,000 km, and the customer’s approval before extra work. Documents are issued from software registered with the Israel Tax Authority and sent to the customer on WhatsApp or by email.

  • Quote, tax invoice and receipt
  • Every document is linked to the job and the vehicle
  • Sent to the customer on WhatsApp and by email

Test coming up — a list and a WhatsApp reminder

The “Test coming up” list gathers the vehicles whose test expires in the coming month or expired recently, with the customer’s phone. Each vehicle opens a ready WhatsApp message to the customer, in their language, with the vehicle details and the test date — and the garage sends it itself. The list remembers when the last reminder was sent, and one button updates the test dates from the Ministry of Transport registry, so a vehicle that already passed its test leaves the list.

  • Tests due in the coming month
  • A ready message in the customer’s language, with a record of when it was sent
  • Test dates updated from the Ministry of Transport registry

Recording and transcribing a meeting

A conversation with a customer, an assessor or a supplier — recorded and transcribed

Record a full meeting, up to 90 minutes, and get a transcript attached to the appointment — what the customer said about the fault and what was agreed on the repair and the price.

For example:
  • Explaining a repair quote to a customer
  • A meeting with an assessor or insurance representative
  • A meeting with a parts supplier
  1. Consent before anything else

Before recording, the participants confirm the meeting is being recorded. Without that confirmation, recording does not start.

  2. Record up to 90 minutes

On the appointment, choose “Record the meeting + transcript”, from the phone or the computer. The recording uploads in parts during the meeting.

Screenshot — an active recording: the recording timer, how many minutes have already been uploaded and a stop-and-finish button
  3. The transcript arrives on the appointment

Usually within a few minutes of the end, with a notification. Copy it or add it to the appointment description with one click.

Screenshot — the meeting transcript on the appointment, with copy, add-to-description and delete buttons
  • The recording is transcribed on BaseCRM’s transcription server. It is not sent to external AI services.
  • The audio is deleted right after transcription. The transcript is stored encrypted, and everyone authorised to see the appointment can read it.
  • The transcription engine was trained on spoken Hebrew.

The transcript usually appears within a few minutes after the recording ends, and a notification is sent when it is ready. If the transcription server is offline at that time, the recording waits for it; a recording not transcribed within 7 days is deleted.
