For caterers, producers and venues

Event management software — calendar, menu, billing and agreements in one place

Every event has all its own details: menu, guest count, schedule, billing and a signed agreement — and one calendar that centralizes all your events, across all venues.

The challenges of event management

We understand the chaos of managing many events at once

Events are scattered

Events across several venues and one-off locations — without one calendar that centralizes everything

Details scattered everywhere

Menu, guest count, schedule and notes — on sticky notes, on WhatsApp and in your head

Manual billing tracking

Who paid a deposit? How much is left to collect? It's hard to track balances

Agreements and printouts

Event agreement, order confirmation and documents — without a proper digital signature

How BaseCRM solves it

Every event is managed end to end — from the first inquiry to the final payment

One event calendar

All your events in one calendar — across all venues and one-off locations. Month and list views in full English, with the Hebrew date, holidays and dates, so no date ever falls through the cracks. You can also schedule additional dates for each event: tasting, venue tour, rehearsal and teardown.

  • A monthly calendar view with all your events
  • A color for every event — easy to spot at a glance
  • Scheduling tastings, tours and rehearsals

Full event profile

Every event has one profile that centralizes everything: menu, guest count, event schedule, venue, notes and any detail that matters to you. Add items and costs in a convenient table, attach files and links, and share it with the client — without hunting for information in ten different places.

  • Menu, guests, schedule and venue for every event
  • A list of items and costs with a total sum
  • Attaching files, photos and links

Billing, deposits and balances

Clear billing tracking for every event: transaction amount, deposit paid and remaining balance — with a progress bar showing exactly where each event stands. Issue tax invoices and receipts directly from the event, and send them to the client by email or WhatsApp.

  • Transaction amount, deposit and balance for every event
  • Digital invoices and receipts directly from the event
  • Sharing documents via WhatsApp and email

Event agreement and digital signature

Send the client an event agreement for digital signature via a link — no printing and no chasing signatures. The agreement is saved signed and linked to the event, and any document can be printed as needed: order confirmation, agreement, or an event summary sheet.

  • Signed document saved and linked to the event
  • Print any document as needed

Recording and transcribing a meeting

An event planning meeting recorded and transcribed — every request from the hosts is kept

Record a full meeting, up to 90 minutes, and get a transcript attached to the appointment — the menu, the schedule and the special requests, as they were said.

For example:
  • A planning meeting with the hosts
  • Tastings and choosing the menu
  • A wrap-up meeting on the event schedule
  1. Consent before anything else

Before recording, the participants confirm the meeting is being recorded. Without that confirmation, recording does not start.

Screenshot — the meeting recording window: an explanation of privacy and a checkbox confirming that the participants know the meeting is being recorded
  2. Record up to 90 minutes

On the appointment, choose “Record the meeting + transcript”, from the phone or the computer. The recording uploads in parts during the meeting.

Screenshot — an active recording: the recording timer, how many minutes have already been uploaded and a stop-and-finish button
  3. The transcript arrives on the appointment

Usually within a few minutes of the end, with a notification. Copy it or add it to the appointment description with one click.

Screenshot — the meeting transcript on the appointment, with copy, add-to-description and delete buttons
  • The recording is transcribed on BaseCRM’s transcription server. It is not sent to external AI services.
  • The audio is deleted right after transcription. The transcript is stored encrypted, and everyone authorised to see the appointment can read it.
  • The transcription engine was trained on spoken Hebrew.

The transcript usually appears within a few minutes after the recording ends, and a notification is sent when it is ready. If the transcription server is offline at that time, the recording waits for it; a recording not transcribed within 7 days is deleted.
