Customer club management software — from the join page to the coupon redeemed on the invoice
A customer club that lives inside the system already running the business: customers join by link or QR code, receive a joining benefit and a birthday benefit by email, and the personal coupon is redeemed right on the invoice.
What a club member gets
Four simple things, and the business decides what each one gives.
Joining benefit
A percentage off, an amount off or a gift — once per customer. The benefit is shown on the thank-you screen right after joining and is also sent by email with a personal code.
A birthday benefit
Sent by email automatically, once a year: on the birthday, a few days before it, or on the 1st of the birthday month and valid until the end of the month.
Offers to members
A message to all club members, to this month’s birthdays, to those who have not visited in a while or to a group by tag — with or without a personal coupon code.
One-click unsubscribe
Every marketing email has an unsubscribe link that works in one click. A member who opts out of offers still receives their invoices and reminders as usual.
Setting up a customer club in three steps
Turning the switch on only shows the club in the menu. No email goes out to anyone until the club is opened from its own screen.
Switch it on
In the settings, or on the setup card at first sign-in. “Customer club” appears as a row in the menu.
Choose the benefits
A joining benefit, a birthday benefit and when it goes out, and whether to offer a benefit to members who have not come back. Then press “Open the club”.
Share the link
A link to the join page, a QR code and a ready-to-print poster. The link can be sent on WhatsApp, posted on social media or hung by the counter.
Four ways to join
- The business’s join page — by link, by QR code or from the printed poster
- A “Join the club” checkbox on the online booking page, if the business chooses
- A join band on the business’s landing page
- Staff adding an existing customer from the customer card
A link, a QR code and a poster to print
The club screen holds the join link, the QR code and a ready-to-print poster with the benefits. Clicking “Preview” opens the page exactly as customers see it.

A birthday benefit that goes out on its own
The customer enters a day and month when joining, and the system remembers for the business.
Three ways to time it
On the birthday itself, a few days before it, or on the 1st of the birthday month — in which case the benefit is valid until the end of that month. Once a year per member.
A reminder before it expires
Three days before the benefit expires, a short reminder email goes out — because a forgotten benefit brings nobody back.
Not on Shabbat or holidays
Nothing is sent on Shabbat or holidays. A birthday that falls on Shabbat gets its benefit on the next working day, so it is not missed.

A benefit for members who have not come back
An automatic offer can be switched on for members who have not visited for a number of days the business chooses. A visit is a document issued to the customer, an appointment that took place or a punch-card use. Each member gets such an offer at most once every six months, so nobody feels chased.
Offers and coupons redeemed on the invoice
The benefit does not end in the email — it closes in the document the business issues anyway.
An offer by email
To all members, to this month’s birthdays, to inactive members or by customer tag. The offer goes out gradually, up to 300 club emails per business per month.
A personal coupon code
Each member has their own code, easy to read out at the counter. The coupon belongs to the customer who received it and cannot be redeemed on another customer’s invoice.
Redeemed on the invoice
Pick the customer on the invoice and their active benefits appear to choose from. The discount goes into the document, and the coupon is marked as redeemed automatically when the document is issued. Gifts and receipts are marked as redeemed with one click.
WhatsApp with one tap
For members who agreed to WhatsApp, a queue of ready messages is waiting. A tap opens WhatsApp on the business’s phone with the text — sending is manual, from the number customers know.
A new offer in a few lines
Choose who it goes to, write a subject and content, and if you like — attach a benefit with a personal code for each member. Before sending, you see how many will get it by email, how many are waiting in the WhatsApp queue, and how many emails are left this month.

The coupon is closed on the invoice
Pick the customer on the document, and their active benefits appear under “Club benefit”. Clicking “Apply” puts the discount into the document, and the coupon is marked as redeemed when the document is issued.

The WhatsApp queue
Members who agreed to WhatsApp only receive the offers and benefits through a queue on the club screen. “Send” opens WhatsApp on the business’s phone with the text ready, and the row leaves the queue.

The club screen
At a glance: how many members there are, how many joined this month, how many coupons are active and how many were redeemed in the last 30 days. The member list filters by who can be emailed, this month’s birthdays, members with an active benefit, inactive members and those who left.
The offers list shows, for each offer, how many went out by email, how many by WhatsApp and how many coupons were redeemed.

Consent, “Ad” and unsubscribe — built into the system
Tools that help send offers in line with Israel’s anti-spam law (section 30A of the Communications Law). They do not replace legal advice.
Separate consent for each channel
The join page has one box for email and one for WhatsApp, and neither is ticked in advance. A marketing email goes only to members who ticked email consent.
A record of every consent
Every consent is stored with the date, the exact wording shown, the IP address and how it was given — so it is possible to show when and how a customer agreed.
“Ad” in the subject and one-click unsubscribe
Every marketing email starts its subject line with the word “Ad”, carries the business’s details and includes an unsubscribe link that works in one click.
A terms and privacy-notice template
The join page shows terms and a privacy notice from a ready template that the business can edit. Having a lawyer review the wording before opening is recommended.

Everything on the customer card
Each customer’s card shows when they joined, their birthday, when marketing was approved on each channel and their active benefits. From there you can also withdraw consent at the customer’s request, mark a gift as redeemed or remove them from the club.
What the customer club does not do
Better to know up front than to find out after signing up.
- SMS — Not yet. Benefits and offers go out by email, and on WhatsApp with one tap from the business’s phone.
- Automatic WhatsApp — WhatsApp messages are prepared in advance, but each one is sent with a tap, from the business’s phone.
- Points, cashback and VIP tiers — The club is built on benefits and coupons, with no accumulation and no tiers.
- A customer app or a digital wallet card — There is no app, no card in Apple Wallet or Google Wallet, and no personal area where the customer sees their coupons. Benefits arrive by email.
- Paid membership and refer-a-friend — Customers do not pay to join the club, and there is no refer-a-friend mechanism.
Frequently asked questions about the customer club
A customer meeting recorded and transcribed — in the same system that runs the club
Record a full meeting, up to 90 minutes, and get a transcript attached to the appointment in the customer card — alongside their benefits and consents.
- A consultation with a regular customer
- Planning an offer with the team
- A meeting with a supplier about a benefit for club members
-
Consent before anything else
Before recording, the participants confirm the meeting is being recorded. Without that confirmation, recording does not start.

-
Record up to 90 minutes
On the appointment, choose “Record the meeting + transcript”, from the phone or the computer. The recording uploads in parts during the meeting.

-
The transcript arrives on the appointment
Usually within a few minutes of the end, with a notification. Copy it or add it to the appointment description with one click.

- The recording is transcribed on BaseCRM’s transcription server. It is not sent to external AI services.
- The audio is deleted right after transcription. The transcript is stored encrypted, and everyone authorised to see the appointment can read it.
- The transcription engine was trained on spoken Hebrew.
The transcript usually appears within a few minutes after the recording ends, and a notification is sent when it is ready. If the transcription server is offline at that time, the recording waits for it; a recording not transcribed within 7 days is deleted.
