For construction supervisors, project managers, designers and renovation contractors

Construction and renovation project management software — budget, approvals and progress in one place

BaseCRM is Israeli software for managing construction and renovation projects, in the cloud: a budget by work phase against what was paid, change orders the client approves by link, documents by version, site photos and a link where the client sees where the project stands — plus invoices from a program registered with the Israel Tax Authority.

The challenges of managing a construction or renovation project

The work on site is the easy part — the hard part is everything around it

Decisions lost in WhatsApp

Who approved the tiles, which version of the plan, and when? The answer is buried in a thread of hundreds of messages.

Extras without written approval

A change agreed verbally turns, at the end of the project, into an argument about who asked for it and for how much.

A budget that slips quietly

When the budget, the payments to trades and the extras sit in three places, the overrun is discovered only at the end.

The client asks every day where things stand

One organised update to the client saves dozens of calls — if there is somewhere to produce it from.

How BaseCRM solves it

The project's office and money, in one place

Work phases and budget versus actuals

Every project is divided into work phases — demolition, plumbing, electrical, tiling and so on — and each phase has a budget, a completion percentage and dates. Beside each phase you see the approved changes, what was paid to the trades and what is left, and at the top of the card the final forecast against the budget. You can start from a ready template for an apartment renovation, a kitchen or bathroom, a private house or TAMA, and adjust it.

  • Budget, approved changes, paid and left — for each phase
  • Payments to trades from the budget, without mixing them with the business's own expenses
  • Phase templates by project type

Change orders — recorded, priced and approved

Every change to the agreed work is recorded as a change order, with its cost, its effect on the schedule and the phase it belongs to. Only a change order the client approved enters the budget. An approved change order stays as approved: a further change is recorded as a new change order, so it is always clear what the client signed.

  • Cost and schedule effect for every change
  • A status for every change order: draft, sent, approved, rejected
  • Only an approved change order enters the budget

The client's approval by link, from the phone

The change order or the document is sent to the client by link, with a ready WhatsApp message in the client's language. The client opens it without signing up, sees exactly what was sent, types their full name and approves or rejects. The name, date and time and a fingerprint of the details are saved, and the decision cannot be changed — which answers "I never approved that".

  • No sign-up and no app
  • A ready message in the client's language
  • A change after sending cancels the link

Billing milestones — the invoice goes out on time

Define what the client is billed and when: on signing the agreement, at the end of a stage, on a date. When the project reaches the stage, a notification appears, and the document is issued from the milestone itself, from a program registered with the Israel Tax Authority. After issuing, the milestone shows whether the document was paid.

  • Billing on reaching a stage, on a date or both
  • A notification when a billing date arrives
  • Invoice and receipt from a program registered with the Israel Tax Authority

A view link for the client — and no amounts for the trades

The client gets a link to the project page: progress, the budget and what was paid, the payment schedule, the approvals waiting for them, the current documents and the site photos. The trades have a separate link with the phases, the plans and the photos — with no amounts and no contracts. Any link can be cancelled.

Key features for managing construction projects

Documents by version

Plans, specifications, permits and contracts, each with its versions. A version is sent for approval, and an approved version is kept.

Site photo log

Photos from the phone straight into the project, by day and by phase. The location the phone stores in the photo is removed on upload.

Site details

Address, block and parcel, permit number, area and the end of the warranty period — on the project card.

Supervision agreement with a digital signature

The agreement with the client is sent for signature on the phone, and the signed copy is kept in the project.

Project stages

Proposal, planning, permit, execution, handover and warranty period — and you see which stage each project is in.

Clients, meetings and tasks

A card for every client, site visits in the calendar, tasks and working hours for each project.

Recording and transcribing a meeting

Record the whole meeting, with a transcript and privacy kept

Record a full meeting, up to 90 minutes, and get a neat transcript attached to the appointment.

For example:
  • An introductory meeting with a new customer
  • A weekly team meeting
  • A meeting where the price and payment terms were agreed
  1. Consent before anything else

Before recording, the participants confirm the meeting is being recorded. Without that confirmation, recording does not start.

Screenshot — the meeting recording window: an explanation of privacy and a checkbox confirming that the participants know the meeting is being recorded
  2. Record up to 90 minutes

On the appointment, choose “Record the meeting + transcript”, from the phone or the computer. The recording uploads in parts during the meeting.

Screenshot — an active recording: the recording timer, how many minutes have already been uploaded and a stop-and-finish button
  3. The transcript arrives on the appointment

Usually within a few minutes of the end, with a notification. Copy it or add it to the appointment description with one click.

Screenshot — the meeting transcript on the appointment, with copy, add-to-description and delete buttons
  • The recording is transcribed on BaseCRM’s transcription server. It is not sent to external AI services.
  • The audio is deleted right after transcription. The transcript is stored encrypted, and everyone authorised to see the appointment can read it.
  • The transcription engine was trained on spoken Hebrew.

The transcript usually appears within a few minutes after the recording ends, and a notification is sent when it is ready. If the transcription server is offline at that time, the recording waits for it; a recording not transcribed within 7 days is deleted.
